SERVICE CHARGE

Optimum Property Management Limited will, wherever possible, comply with and exceed the requirements of the RICS Code of Practice, Service Charges in Commercial Property (3rd Edition) and the leasehold obligations.
Upon receipt of copy leases and associated correspondence Optimum will review the basis of all charges in relation to each schedule and confirm to you whether the costs levied are in accordance with the lease terms and lease charging mechanisms.

HEALTH AND SAFETY

For our managed portfolio, we have developed a comprehensive health & safety management system in order to ensure, compliance with relevant legislation.

In order to minimise risks in properties we manage, it is our policy (where applicable) to commission risk assessments and annual audits which cover all key areas of health & safety including:

  • General Health & Safety

  • Fire

  • Water Quality / Legionella

  • Asbestos

Optimum has relationships with a range of health & safety and environmental consultancies. In particular we have developed close working relationships with Magenta, who are contracted to provide health and safety consultancy and advice for our managed properties.

Recommendations made in risk assessments / audits will be actioned according to priority allocated by the external consultant. In setting annual service charge budgets, due regard will be made to any outstanding recommendations from the risk assessments / audits.

Optimum will put in place all procedures necessary for managing health and safety on a day to day basis, carrying out the tasks detailed in the risk assessment, for implementing safe working practices and for operating a ‘permit to work’ policy.

Suitable training will be given to all staff involved in matters relating to health and safety. This training will be regularly updated so as to ensure compliance with new Regulations and the operation of best practice.

Any accidents and ‘near misses’ which occur will be fully investigated and our procedures will be continuously reviewed adapted and improved in accordance with normal practice.

RENT (AND PAYMENT OF OTHER MONIES) – TENANT’S OBLIGATIONS

Optimum has a dedicated rent and service charge collection team, within our office. This aids communication flow and quick responses. We set ourselves strict deadlines and targets. We always collect 94% of our rents within fourteen days of the due date. This has been consistently achieved.
We carry out a weekly reconciliation of our bank accounts to ensure that monies have been paid, which also means that any issues can be identified at an early stage.
The rent collection team is also surveyor led, so that any decisions are made by senior members of staff. This has the benefit of reinforcing the professionalism of our robust systems rather than simply relying on processes. This way we ensure that strong financial control is maintained whilst lease obligations are met, best value and practice processes followed and the client’s business plan adhered to. The upside of this is reduced client risk in terms of void and unexpected costs.
